Below you will find a description of the three main concepts that form the application.
Task/Record
A task or a record is the smallest unit of measure in Neaktor, which is essentially an input form with some information. The records can store tasks assigned to employees, or information like server configs.
An example of a record can be:
– operations management task
– task in the context of a business process. For example, a technical support ticket
– a record with client contact information
– a business transaction information record
Tasks in Neaktor are created according to the business processes or, in other words, rules by which a specific type of task is executed. The configured business process in Neaktor is called the business process model.
Each task can exist both autonomously (on the Tasks tab) and within the framework of a project. Projects are used to group tasks for a specific topic. For example, when a customer ordered a product from your company, you can keep all tasks related to this order in one project.
Model / Record Type / Business Process
A business process is usually defined as a collection of related, structured activities or tasks in which a specific sequence produces a service or a product.
Conventionally, there are three types of business processes:
- Management process is taking a task from start to finish as they are focused on planning, financial, employees and projecting the future of company operations. Oversee operational processes and allocate resources, defining timeframes and checking that the systems are in place to complete the other processes but do not provide value directly to the customers.
- Operational process or primary processes is the process of producing and delivering goods and services to your customers. Defining the primary activities of a company like taking orders from customers, opening an account, managing bank accounts and manufacturing a component.
- Supporting processes or secondary processes: Day-to-day operations of your business like documentation, recruitment, customer service, HR, technical support, marketing, etc.
Neaktor allows you to run all three types of business processes. The configured business process in the application is called “Business Process Model”.
More than one model can be created for each project in Neaktor. This allows you to decompose (break) a complex business process into several simpler ones to simplify visualization and management of all activities.
For example, in your project, you need to set up a process for a web development agency to create a website for a client. In this case, it is appropriate to break the big business process of website creation into several smaller ones: “design”, “development”, “QA”, “content creation” and keep tasks for them separately. For each such small business process within the project, you can create a model and when creating tasks, project managers and assignees will have several “types” of tasks: “Task for a designer”, “Task for a developer”, “Task for a copywriter”, etc. Therefore, the model can also be explained as the “Type” of the record/task.
Project
Generally speaking, a project is a folder in which we store records and tasks that solve one unique problem. All tasks within the project are created according to the rules set in the business process models we described above.
